WORK ENVIRONMENT

  • Illumination: Ensure lighting fixtures are positioned appropriately to prevent glare on computer screens or working surfaces. Adjust lighting levels for comfortable visual tasks without eye strain.

  • Ventilation and Thermal Comfort: Maintain sufficient ventilation and comfortable room temperature in the workspace.

  • Furniture and Equipment: Arrange furniture and computer equipment ergonomically, considering factors such as exit routes and direction of light sources. Ensure furniture and flooring are in good condition and free of hazards.

  • Clear Walkways: Keep walkways clear of clutter and trip hazards, such as trailing electrical cords.

  • Storage: Provide suitable storage for documents and books to maintain an organised workspace.

  • Equipment Safety: Use equipment provided by the organisation, ensuring it has been recently tested and tagged by the IT department. Avoid overloading power outlets with double adapters or power boards.

COMMUNICATION

  • Agreed Communication Strategy: Establish a reasonable communication strategy with your manager, such as regular check-ins via call or email.

  • Notification of Changes: Inform your manager of any changes that may impact health and safety, such as new pets, renovations, or changes in residence.

WORK PRACTICES

  • Regular Breaks: Take breaks every 30 minutes of keyboarding and stand and stretch at least once per hour to prevent prolonged sitting.

  • Proper Posture: Maintain an upright or slightly reclined sitting posture with a slight hollow in the lower back. Keep wrists upright while typing and avoid resting them on any surface.

  • Telephone Use: Use a headset or hold the telephone receiver with your hand to prevent neck strain from cradling.

PHYSICAL ACTIVITY

  • Breaks for Repetitive Actions: Take appropriate breaks to avoid prolonged repetitive actions. Incorporate stretching and posture changes during breaks.

  • Lifting and Carrying: Ensure tasks involving lifting, pushing, or carrying are within your physical capacity. Use trolleys or other aids for moving heavy items.

MENTAL HEALTH

  • Establish Workstation Boundaries: Set up boundaries around work hours with family members or housemates to maintain focus and productivity.

  • Regular Meetings: Schedule regular meetings and catch-ups with managers, teams, and clients to foster communication and relationships.

  • Stay Connected: Use various communication channels to stay connected and updated on work matters.

  • Incorporate Breaks: Take breaks in outdoor spaces whenever possible, incorporating exercise or other activities to promote mental well-being.

  • Minimise Distractions: Identify and minimise potential distractions in the workspace. Play music or use other methods to create a conducive working environment.
